Location: Holy Covenant United Methodist Church (UMC), 925 W Diversey Pkwy, Chicago, IL

 

Description:

 

Holy Covenant UMC seeks a part-time Office Administrator (20 hours per week) to

manage the administrative, financial, and communication functions of the church.

Administrative (25%)

-Greet and assist all who enter the church building/office

-Answer the telephone and take messages

-Open and distribute mail

-Manage incoming office e-mails

-Maintain master church calendar and building use schedule

-Maintain attendance books and name tags

-Enter worship attendance and stewardship into database

-Manage church membership records, mailing lists, and databases

-Provide administrative support for the staff (Pastor, Music Director, Dignity Diner           Director)

-Order office and church supplies

-Maintain office software and equipment

-Maintain church filing system

-Assist in preparing annual reports for Charge Conference and Statistical Reports

 

Financial (50%)

-Process and administer payroll

-Process member contributions (weekly offering, on-line contributions, contributions

received by mail)

-Process building income (apartment rental, building use fees)

-Process account payables

-Run monthly financial reports for the Finance Committee

-Compile weekly offering summary for church bulletin

-Monitor on-line banking accounts, communicating any significant changes to pastor and Finance Committee

 

Communications (25%)

-Create PowerPoint presentation slides for weekly announcements

-Coordinate weekly worship volunteers (greeters, liturgists)

-Gather information from Pastor and Music Director to layout, print, assemble worship     bulletins and announcements

-Update website with sermons, upcoming events, special announcements

-Troubleshoot and maintain website software

-Create and send weekly e-newsletter

-Create Facebook events and announcements for upcoming church functions

-Liaise with maintenance staff for cleaning, special set ups

-Assist church leaders in distributing minutes, e-mailing meeting reminders

-With Pastor approval, administer building use covenants with short-term users

-With Trustees and Pastor oversight, maintain building use covenants with long-term users

 

Required Skills & Experience:

-Exceptional communication skills (written & verbal); Must have professional, positive,

personable demeanor

-Strong working knowledge of Microsoft Office (Word, Excel, PowerPoint, Publisher)

-Some financial management, bookkeeping, and/or data entry experience

-Detail-oriented and works with a high degree of accuracy

-Highly organized and flexible

-Self-starter with the maturity, confidence, and ability to work independently and able to

complete projects with limited supervision

-Must maintain church member and staff confidentiality

-Must demonstrate ability to relate well to diverse individuals and groups

-Knowledge and experience in local church setting is helpful, although being Christian

not required
